Recommended Session Schedule for Optimal Results

1. Frequency: To maximise learning momentum and ensure concepts are reinforced regularly, we strongly recommend scheduling tutoring sessions on a weekly basis. Consistent, weekly engagement allows tutors to track progress effectively, address challenges promptly, and build upon previous lessons systematically.
2. Format: While we offer flexibility, we strongly recommend face-to-face tutoring sessions whenever possible. In-person interaction often enhances engagement, facilitates clearer communication, and allows tutors to pick up on non-verbal cues crucial for adapting teaching methods. We understand this may not always be feasible, and high-quality online sessions are available as an alternative.

Managing Your Schedule: Rescheduling Sessions

We understand that unforeseen circumstances can arise. If you need to change a scheduled session time, you can do so easily provided you give more than 24 hours’ notice.

• Action Required: Please log in to your Teachworks online portal to view available slots and reschedule your session directly. This system provides you with the flexibility to manage your commitments efficiently.
• We encourage you to reschedule within the same week if possible, to maintain learning consistency.

Cancellation Policy: Ensuring Fairness for All

Our tutors dedicate specific time slots to prepare for and conduct your child’s sessions. Late cancellations significantly impact their schedule and prevent other students from utilising that time.

• Strict 24-Hour Notice Required: Cancellations require a minimum of 24 hours’ notice prior to the scheduled start time of the session.
• Less Than 24 Hours’ Notice / No-Shows: Regrettably, sessions cancelled with less than 24 hours’ notice, or sessions missed without any prior notification (no-shows), will be forfeited and charged as a completed session. We must strictly adhere to this policy to ensure fairness to our tutors and other clients.
• Notification: Even if cancelling within the 24-hour window, please still inform us as a courtesy via the Teachworks portal or by contacting the office directly.

Steps to Ensure Consistent Attendance

To help make the tutoring experience as beneficial as possible, we encourage families to:

1. Choose Sustainable Times: Select session times during enrolment that genuinely fit your family’s schedule and minimize potential conflicts.
2. Utilise Reminders: Take advantage of email or SMS reminders available through the Teachworks system.
3. Plan Ahead: Review your upcoming schedule regularly and reschedule proactively via Teachworks if you anticipate a conflict more than 24 hours in advance.
4. Communicate Early: If unavoidable issues arise close to the 24-hour mark, please communicate with our office as soon as possible, although the cancellation policy will still apply.
5. Value the Time: Treat tutoring sessions as important appointments crucial to your child’s educational development.

Tutor Absences

Should a Haloed Tutoring tutor need to cancel a session due to illness or an emergency, we will provide you with as much notice as possible. We will work with you promptly to reschedule the session at a mutually convenient time or arrange for a session credit as appropriate.
